JOB DESCRIPTION:
LOB: GBAM - REGIONAL MANAGEMENT
ROLE TITLE: EXECUTIVE ASSISTANT
LOCATION: PARIS
We are looking for an Executive Assistant to join our Regional
Management team by supporting our Deputy CEO of BofASE and France and
Country Chief Finance Officer.
This role will provide a lot of exposure to senior executives inside
and outside the bank. It will involve a mix of tasks which are not
solely confined to diary management or travel organization. The
candidate will support the teams in the organization of key events to
which senior executives and policy makers participate, will get an
overview of the marketing activities.
As an Executive Assistant your main responsibilities will involve:

Diary management, including organising internal/external meetings and
conference calls
*
Booking and making all necessary arrangements for business travel
*
Handling expenses using Concur and Ariba system
*
Admin assistance for all expenses and admin needs in order to support
the Chief Finance Officer Executives in the Paris office
*
Pre-empt and highlight to the Business Manager out of policy expenses
*
Ensure relevant DRE is captured
*
Develop knowledge of managers’ contacts in the public policy space
internally and also externally (politicians and regulators in Europe)
and the marketing internal and external contacts
*
Admin associated with team changes and on-boarding
*
Integrate with the broader Communication and CSR teams and activities
*
Provide ad hoc support for the organization of key events (e.g. World
Economic Forum or other Public Policy /Marketing activities)
*
As an Executive Assistant your skills and qualifications will ideally
include:
Essential skills:
*
Experience or ability to interact with senior stakeholders inside and
outside the bank including government officials and foreign
ambassadors
*
Comfortable with processing expenses and dealing with contractors and
external vendors
*
Excellent PC skills including Word, PowerPoint and Outlook
*
Experience with Concur and Ariba systems
*
Knowledge of other European languages would be an asset
*
Interest in International politics or marketing would be an asset
