Specific duties & responsibilities will include but are not limited
to: *
PROPERTY MANAGEMENT
* Proactively coordinate the receipt of property: gather deposits
form, liaise with the admin and the registrar team to ensure the
property is registered in the system and placed in the safe
* Coordinate property movement including site transfers, local
transfers, temp releases, transfer to third party, and hand carries,
property release (return to vendor or purchase to buyers), liaise with
admin for each property movement to update the system accordingly, get
approval from Security for external ad hoc property movement
* Maintain accurate records of departments inventory (Watches,
Handbags, Sneakers)
* Manage Photography and Restoration needs for sale including
liaising with photographers, the editing team, the workshop or
restorer, preparing the items for photography (clean watches before),
taking extra pictures of the photography during the cataloguing
process in advance of client requests
* Ensure that product photography is executed properly following the
department guidelines
* Check compliance database for each lot consigned (Art Loss
Register)
EXHIBITIONS
* Before the pre-sale exhibition: provide information regarding
display cabinet and forms required, assist with
Watches/Handbags/Sneakers handling and display into the showcases, and
placing items in to the safe for overnight storage
* Liaise with the Specialists and the Operations and Marketing teams
to ensure that the Galleries are properly set up for the public view
* Prepare other exhibition material: lot cards, property check lists,
copies of condition reports and certificates binders
* During the exhibition provide support, including but not limited to
answering client enquiries, sending condition reports to clients,
taking additional photographs or videos of the lots
* Assist with gathering information for pre-auction meetings on the
highlights of the sale
* Schedule and maintain appointment calendar for dealers attending
dealer viewing
* Work closely, efficiently, and effectively with other specialist
departments, particularly Client Service and Operations during this
time
* Collaborate with Client Development to find previous bidders in
past sales to support clients targeting
* Assist the Specialists during the exhibitions and events
* Travelling exhibition : Liaise with Specialists and Shipping teams
to co-ordinate property and location
OTHER DUTIES
* Assisting the department with valuations and appraisal projects,
including data entry
* Contribute to cataloguing when required
* Maintain and organize valuation folders on the departments server
* Contribute to provide assets for Marketing and Press purpose
(images, sales overview, lot details)
* Work collaboratively with other teams and regional offices to
facilitate smooth handoff of information and positive client
experiences
QUALIFICATIONS
* Educated to degree level or equivalent
* Experience of auction and/or retail in either Watches, Handbags or
the Sneakers sector
* Fluent in English
* Possess excellent communication skills, both written and spoken
* Ability to prioritise and work to multiple deadlines on multiple
tasks, excellent organisation skills.
* Ability to work well under pressure, and a flexible approach to a
wide range of tasks
* Computer literate; excellent knowledge of Word and Excel is
essential Highest levels of attention to detail
* Security conscious
* The ability to work effectively individually and in a team and to
'pitch in' when required
* A commitment to an exemplary level of client service
* Self-motivated with enthusiasm to learn
